Programs and Operations Manager

Celebrating its 25th anniversary this year, the Essex Art Center (EAC) serves thousands of Merrimack Valley residents each year by offering year round fine art classes, workshops in a wide variety of media to adults and children, community outreach programs, and free gallery exhibitions in its three galleries. The organization is committed to provide art opportunities for ALL in its vibrant art center located in the growing North Canal Historic District in Lawrence, MA.


Position Summary


Reporting to the Executive Director, the Programs and Operations Manager will provide a range of services to ensure that all functions and operations are supported by effective procedures for planning: financial management, registration, evaluation and reporting. This is a full-time position of a minimum of 40 hours per week year-round with a variable schedule which will include some evening and weekend work. All work will be performed in the office.


Essential Functions


  • Support the Executive Director (or Interim Director) in a variety of ways to ensure the smooth operation of the Center
  • Effectively manage the operations of complex and multi-dimensional sessions of classes including studio art classes, summer programming, exhibitions and other public programs; serve as registrar for all class enrollments and fundraiser events generating registration reports including enrollment metrics and income tracking
  • Manage and actively participate in business operations including human resources, risk management protocols, insurances, facilities, database integrity, and information technology planning
  • Demonstrate fiduciary best practices; together with the Executive Director and Bookkeeper, work with auditors to ensure compliance with applicable accounting procedures and standards; actively participate in annual audit processes; and update the documentation manual summarizing all financial procedures
  • Develop cash flow analysis for enrollment and fundraising tracking and outcome measurements to guide decision making
  • Manage and implement marketing and outreach plans using all appropriate web and social media resources to best represent EAC to various constituencies
  • Maintain a commitment to student and employee diversity
  • Prepare appropriate background materials on various subjects to enable the Executive Director and the Board of Directors (BOD) to be prepared for all meetings; oversee the schedule and planning for BOD meetings including the preparation and distribution of all related materials; serve as a resource to the BOD
  • Encourage creative program development and administrative solutions to promote the use of EAC’s facilities by other organizations acting as a liaison for these programs and for EAC events
  • Take utmost care to maintain and protect the confidentiality of the Center’s work; maintain accurate, secure files and databases; maintain archival records
  • Serve as an ambassador for EAC




  • 7-10 years of operations management experience
  • Spanish language skills strongly preferred
  • State of the art technology skills and a willingness to learn new technologies
  • Financial, facilities and risk management skills
  • The ability to effectively present information orally and in writing; and experience handling confidential and sensitive matters with discretion
  • Experience in an academic environment, preferred
  • A superlative approach to customer service, including unfailing kindness and generosity of spirit with all who interact with the EAC
  • The ability to solve problems diplomatically and work with different constituencies
  • Experience acting as a model of integrity and discretion at all times
  • A sense of humor, patience and flexibility; the ability to keep things in perspective
